There are alternatives to printing information that are faster and with more functionality; printing on a multi-part form, line printer, or a dedicated printer from proprietary software can now be printed on just about any printer, in any format, across a network.  Multi-part forms can be expensive, messy, time consuming, and limiting.  Print jobs can now be redirected to more cost effective printers or MFP’s with duplex capability, pulling from multiple paper sources and multiple printers simultaneously.  Reduce distribution cost of printing multipart forms by having parts of the forms printed on the recipients own printer or fax, or by email.

 

Printing cost can be reduced by redirecting print jobs to more cost effective printers, using less expensive paper, or completely eliminating printing all together.  Consider the cost of printing a document(s) that is only going to be filed, stored, or rarely viewed.  Printing, handling, and storing documents will, in most cases, be reduced, therefore decreasing expenses by no longer having to print documents.  Even though this is a simple solution to saving money and time, an office still needs to collect the previously printed information, filing it for future use.  An automated solution can be implemented so that once the print button is selected within proprietary software--instead of printing on a printer--a digital image is created and stored electronically within any filing system or document management repository.  In the same process, information extracted from the print job can be deposited into index fields within a document management system.

 

Print centers are turned up-side down with software solutions.  From small to large, print centers use expensive equipment and have to deal with frequent down time and costly repairs/service.  A 50 to 80 PPM MFP or printer can now be replaced with multiple devices and less expensive equipment that experience less down time and require end-user replaceable parts/supplies.  Even a 100-to 200 PPM device for example could be replaced with 8 HP printers @ 50PPM which comes to a total of 400PPM for a sixth of the cost.  The probability of all printers being down simultaneously is very slim and would allow for 100% up-time.  Software can now manage all print devices and redirect print jobs from an inoperable machine to other capable machines automatically.
